Key Responsibilities
- Screen, direct, and process phone and electronic inquiries
- Prepare minutes, emails, internal communications, agendas and other correspondence
- Receive visitors, guests and dignitaries
- Plan and schedule calendars
- Prepare background/briefing materials for meetings
- Research, compile and summarize information for reports or presentations
- Coordinate documents and agendas
- Create and maintain spreadsheets and/or databases
- Assist/manage area-specific processes or events
- Coordinate travel arrangements
- Onboard/offboard new staff
- Initiate purchase requisitions, purchase orders and invoices
- Request Credit Cards for new staff
- Initiate travel and expense claims
- Provide guidance on routine financial transactions
- Reconcile budget statements
- Monitor and record budget variances
- Perform credit card verifications and reconciliations
Requirements
Education
Office Administration Certificate; undergraduate degree preferred
Experience
3-5 years of related experience in a large/complex organization
Required Skills
- Proficiency in Microsoft Office and Google Applications
- Excellent communication skills
- Highly refined people skills
- Exceptional spelling, grammar, editorial, and proofreading skills
- Tact and diplomacy
- Strong commitment to confidentiality and professionalism
- Experience in managing busy calendars and high-volume inbox
